For several years, the retail chain Clas Ohlson struggled with an ever-increasing number of invoices and the manual process of matching purchases, deliveries and invoices.
As part of the change to the financial system, they saw an opportunity to implement an electronic invoice management solution with automatic reconciliation. They chose Rillion to complement Microsoft AX, which marked the start of their journey towards automation.
In May 2022, Palette Software changed its name to Rillion.

About Clas Ohlson
Clas Ohlson, one of Sweden’s best-known retailers, operates around 200 high-street shops in Sweden, Finland, Norway, Germany and England. The company is experiencing impressive growth, partly due to increased online sales. When the 30-year-old finance system was replaced, some improvements were made, but the functionality for invoice processing was still lacking, albeit still adequate.
Clas Ohlson was looking for a really good invoice management solution that would allow it to automate more processes on the same platform. Following a careful evaluation process, the company chose Rillion.
A phased rollout to achieve the best possible results
In 2016, Clas Ohlson began a small-scale roll-out of Rillion in England. The lessons learnt were applied to ensure an even smoother implementation when Norway, Finland and Germany followed suit in 2017. The largest and most comprehensive phase was completed in May 2018 when Clas Ohlson also linked up with the Swedish company. Jan Skarner, Head of Business Navigation at Clas Ohlson, comments:
“Rillion is an incredibly simple and user-friendly system, both to work in and to operate. You become a ‘superuser’ in no time. We started the project and planning together with Rillion’s staff during the first two months before we went live in England. We’ve been able to manage the rest on our own because the system is so easy to understand and user-friendly.”

Successful three-way integration
Clas Ohlson uses Microsoft AX to purchase the products that are directly linked to the business. An integration has been implemented with this system, incorporating Rillion to send and receive data between the systems. According to Jan Skarner, one of the biggest advantages of this whole process is the seamless flow between the systems.
“Automation with Rillion means we’re back on track, and when it comes to integration with AX, we can be absolutely certain that everything will run smoothly right from the start.”

Further streamlining through the matching of contracts and indirect purchases
During the spring of 2019, Clas Ohlson plans to expand its Rillion range:
“The greatest benefit we know we will achieve is that even these processes will be automated, which will bring greater structure and order to our indirect purchases and agreements. Our top priority is better control; the fact that we will also be able to match agreements and purchases with one another will be the icing on the cake.”
“For purchase invoices, we’ve been provided with an integration solution that is absolutely phenomenal; it’s now impossible to pay the wrong supplier or the wrong amount. It was much, much better than we could ever have imagined.”
